DEPARTMENT:                        Business Operations and Revenue Development (BORD)

 

POSITION OBJECTIVE:       Provide coordination and administrative support for all Business Operations and Revenue Development activities

 

REPORTS TO:                           Executive Director, Business Operations & Revenue Development

 

LOCATION:                                Washington, DC; eligible for telework flexibility

 

DUTIES and RESPONSIBILITIES:

  • Provide administrative, project and overall team support to the Executive Director of Business Operations and Revenue Development and the entire BORD team
  • Provide outstanding customer service to corporate partners, vendors, sponsors, VIPs and exhibitors.
  • Coordinate and support BORD meetings, special projects and communications – including logistics and communications for team meetings.
  • Coordinate special project initiatives within established timelines, including management and delivery of all needed team member inputs and contributions and final reporting.
  • Prepare and distribute BORD routine business communications to internal and external stakeholders.
  • Assist with correspondence, budgeting, progress reporting and administrative tasks.
  • Maintain and update existing reports and presentations, including Board of Directors and Finance Committee meeting materials and business and financial templates and reports.  
  • Maintain and track annual project timelines, staff assignments and project next steps across multiple business units.
  • Process and track administrative procedures against Standard Operating Procedures across the BORD team. Monitor process, accuracy and completion on business tasks such as Expense Reports, Check Requests, Credit Card Reconciliation, Recurring Charges, Contracts, etc.
  • Support the development of presentations, spreadsheets and other documents.
  • Provide relief and back-up assistance to the front desk as assigned.

 

RELATIONSHIPS:

Communicate and collaborate daily with BORD team members and other departments across the organization. Works with external business partners and state Farm Bureau staff as needed.

 

EDUCATION OR TRAINING REQUIRED:

  • Bachelors degree or equivalent experience in a professional environment

 

EXPERIENCE AND SKILLS REQUIRED:

  • Customer focused with strong, proactive business communications skills.
  • Detail oriented and organized with the ability to manage multiple priorities and deadlines with composure
  • Strong initiative and good judgment.
  • Experience receiving and managing confidential information appropriately.
  • Ability to work independently as well as with staff and outside partners.
  • Proficient with Microsoft Office software, particularly Outlook, Word, and Excel.

 

PREFERRED EDUCATION/EXPERIENCE/TRAINING/SKILLS:

  • Familiarity with Salesforce, Adobe templates and DocuSign, a plus.
  • Experience using communication tools such as Zoom and Teams
  • Farm Bureau work experience a plus

 

OTHER REQUIREMENTS:

  • Occasional travel required for onsite event/meeting assistance
  • Occasional work on weekends
