Receptionist/Administrative Assistant
DEPARTMENT: Finance & Operations
POSITION OBJECTIVE: Serve as receptionist and provide administrative support to the Finance and Operations Department.
REPORTS TO: Director, Office Operations
LOCATION: Washington, DC
DUTIES AND RESPONSIBILITIES:
Welcome visitors by greeting them in person or via telephone, answering and referring inquiries
- Direct visitors by giving instructions, such as meeting room locations and other information
- Ensure that the front desk operating guide contains the most current information and recommend improvements as needed
- Maintain organized reception areas
- Provide administrative support for the Director, Office Operations
- Provide administrative support for AFBF Board Meetings and internal meetings, as directed
- Schedule internal conference rooms according to AFBF guidelines and distribute the DC Office Daily Meeting Schedule; confirm dates, times and room sets and schedule set-ups with the department hosting the meeting, HelpDesk, and Facility Ops
- Maintain records and process vendor invoices for the Finance and Operations Department, adhering to the document retention policy
- Prepare expense reports for certain AFBF staff
- Conduct vendor and product research
- Provide assistance on special projects, as needed
RELATIONSHIPS:
Communicate and coordinate with all AFBF staff and visitors. Communicate with state staff and outside service providers and suppliers as needed.
EDUCATION OR TRAINING REQUIRED:
- Associates degree or equivalent experience
EXPERIENCE AND SKILLS REQUIRED:
- Experience in a professional environment
- Courteous and professional demeanor
- Customer focused
- Ability to work well under pressure
- Proficient with Microsoft Office Suite and other office software
- Detail oriented and organized
- Ability to prioritize assignments
PREFERRED EDUCATION/EXPERIENCE/TRAINING/SKILLS:
- Experience with multiple software applications preferred
OTHER REQUIREMENTS:
- Ability to work overtime occasionally, as needed
